Major/Essential Duties of Job:
Handles business operations for the Undergraduate Special Programs Office (BUSP) and the
Undergraduate Programs Office (BUPO) to include preparing, processing, and reviewing purchase vouchers, Aggiebuy transactions, purchase
requisitions, and departmental budget requests (DBR). Reviews and reconciles fiscal accounts for both units. Prepares monthly and annual
financial reports for department heads and for the Assistant Dean to include budget activity. Investigates errors on financial transactions
and takes appropriate corrective actions. Monitors department finances and recommends appropriate actions/solutions. Processes travel
vouchers. Serves as custodian and administrator of departmental travel cards. Serve as custodian of personal travel cards. Assists with
program budget preparations. Coordinates annual fiscal year closing activities. Serves as liaison with Financial Management Operations.
Coordinates maintenance of business files. Locates and applies System policies and regulations and University rules. Serves on Mays
Administrative Staff Committee. Implements and executes procedures for the control of departmental purchasing cards. Re-allocates purchasing
card transactions. Reconciles purchasing card statements and secures proper signatures. Serves as Office Manager for the BUSP and the BUPO.
Prepares work order requests. Resolves telephone and IT issues by coordinating with the proper offices for assistance. Coordinates parking
allocations. Manages key control. Supervises the maintenance of office files and records. Coordinates copying and printing needs. Assures
confidentiality of mail and student records. Develops, evaluates, and ensures adherence to office procedures. Oversees the purchase of
office supplies and equipment. Serves as records management coordinator. Composes routine business-related correspondence and assists with
other correspondence. Utilizes Compass to check student registration and schedules. Respond to routine and non-routine information requests.
Attends meetings as required. Serves as Department Property Contact. Submits Annual Certification of Physical Inventory of Equipment.
Oversees cash handling procedures. Communicates cash handling procedures to appropriate staff and faculty. Assists with coordination of
special events, programs, and field trips. Prepares timelines and event budgets. Schedules classrooms. Reserves and coordinates facilities
and catering for retreats and other events. Arranges transportation for large groups and makes travel arrangements for staff members.
Ensures compliance for student travel and risk management. Assists in the college-level undergraduate scholarship process. Enters
undergraduate scholarships in Compass. Maintains scholarship spreadsheets and reports. Helps students resolve scholarship issues. Hires and
supervises student workers. Trains BUSP student workers to answer the main telephone line, take messages, greet and direct visitors to
include: prospective students and their parents, applicants and students for the various programs in the office suite, students who are
enrolled in classes of the faculty members assigned to this office suite. Serves as HR Liaison for BUSP and BUPO. Coordinates and keeps
personnel files secure. Prepares HR documents. Prepares and posts Notice of Vacancies. Prepares position re-classifications. Prepares FMLA
documents. Serves as LeaveTraq administrator by monitoring employee leave and reviewing for accuracy. Monitors state-mandated employee
training. Prepares and processes employment paperwork for all new employees. Monitors, audits, and approves payroll for wage employees.
Monitors, audits, and prepares payroll for staff and faculty employees in the Monthly Payroll system for department heads (or delegates)
approval. Processes paperwork for terminations. Performs other duties as assigned.
Required Education and Experience:
Bachelor's degree or any equivalent combination of training and experience (eight
years' experience with high school graduation or four years with an Associate's degree). Two years' experience in general office, accounting
or personnel operations. Working knowledge of spreadsheet and word processing. Excellent interpersonal skills. Ability to multi-task and
work cooperatively with others.
Preferred Education and Experience:
Bachelor's degree in business administration or closely related field. Experience in
managing business operations or supervisory experience. Knowledge of FAMIS, Canopy, Aggiebuy and Compass.
